A Complete Guide for the Official Tribe Leader of Every Hipcamp Reservation
1. Welcome, Chief Adventurer
As the designated Tribe Leader, you are the navigator, communicator, and responsible representative for your entire camping party. Your leadership ensures that your group enjoys a safe, organized, and memorable stay on our private land shared by Green Grass Grove, The Mushroom Network, LLC, Myco-Emporium, and 3G-Nursery.
This packet outlines all duties, expectations, and legal responsibilities associated with being the Tribe Leader. Please review these pages carefully and make sure all members of your group understand the rules before arriving.
2. Official Tribe Leader Role
- You become the Tribe Leader automatically by completing the Hipcamp reservation.
- You serve as the sole point of contact between your group and 3G-Camping Retreat staff.
- You are responsible for group behavior, rule compliance, environmental protection, and campsite management.
- You accept full financial responsibility for all fees, damages, violations, waste issues, or towing.
3. Core Responsibilities
3.1 Pre-Arrival Leadership
- Ensure all group members receive and understand campground rules.
- Share check-in procedures, maps, boundaries, and quiet hours.
- Confirm everyone is aware of the Leave No Trace policy.
3.2 On-Site Leadership
- Manage group behavior and coordinate campsite setup.
- Enforce quiet hours and environmental protection rules.
- Keep food secured and waste sealed.
- Ensure all fires follow 3G-fire-ring safety protocols.
3.3 Communication
- Use your provided radio (Channel 8) to communicate with staff.
- Notify staff immediately about issues, emergencies, or safety concerns.
3.4 Minor Supervision
- All minors must remain supervised at all times.
- Guide children on safe access to Wi-Fi-in-the-Woods and 3G-Playground Mycoverse.
3.5 Financial Accountability
The Tribe Leader is financially responsible for:
- Early arrival & late checkout fees
- Trash or cleaning fees ($25–$55+)
- Bio-waste violations ($55–$100+)
- Damage to property, structures, or natural environment
- Towing, storage, or moving fees for unattended vehicles
- Pet-related damages or waste violations
4. Campsite Operations
4.1 Check-In
Standard: 12:00 PM – 2:00 PM
Optional Flexible Check-In:
- Arrive at 10:00 AM with $10 Early Check-In
- Arrive until 4:00 PM with $10 Late Check-In
4.2 Checkout
Standard checkout: 10:00 AM
Optional Late Checkout:
- Stay until 12:00 PM with $10 Late Checkout fee
4.3 Vehicle Rules
- 1 vehicle is included with each booking.
- Up to 5 additional vehicles allowed at $5 per vehicle per trip.
- No blocking gates, paths, or driveways.
- No off-road driving outside designated areas.
4.4 Toilet & Waste System
3G uses a high-sanitation portable toilet setup featuring:
- Single-Use Toilet Bags — standard seal-and-take bags
- Gel-Infused Multi-Use Bags — contain odor-neutralizing gel, allowing multiple uses
- $5 Convenience Trash Drum — approved disposal point for bagged waste
Not Allowed:
- Leaving waste anywhere except the blue drum
- Leaving bags in the toilet shed
- Dumping liquids or contents on the ground
Violations: $55+ per bag / per contaminated area
5. Pets & Wildlife
- No aggressive behavior tolerated.
- Pets must remain under control.
- Pet waste must be removed or fees apply.
- Do not disturb wildlife or natural habitats.
6. Final Tribe Leader Agreement
By entering the property, completing a reservation, or creating a Camper Account, I acknowledge that I am legally designated as the Tribe Leader and fully responsible for my group’s behavior, safety, compliance, and financial obligations.
I agree to uphold all rules, supervise my group, maintain safety, and protect the land, wildlife, facilities, and private property of 3G-Camping Retreat and all affiliated divisions.
